The Department of Information Technology is advised to transfer office records from the manual system to the electronic system

A meeting was held on Wednesday in which the Secretary to the Minister of Planning, Development and Special Initiatives, Syed Zafar Ali Shah, ordered the Ministry of Information Technology to move the files from the manual systems office to automated documentation. The main objective of this meeting was to promote a paperless environment.

The IT Department shall convert all records from the manual system to an electronic office

An electronic filing system is commonly referred to as E-office. It is a file organization system that uses hard disk space or network space. It can be computer software, an Internet-based program, or a simple system of files and folders on the PC desktop. This system is more efficient, time-saving and cost-effective compared to manual systems, which is why the Ministry of Planning has asked the Ministry of Information Technology to promote the electronic office.

Syed Zafar Ali Shah gave the guidelines while chairing a meeting to review the progress of the electronic filing system (e-office). This will help setups transition from manual electronic systems to paperless electronic systems. On Wednesday, the meeting took place in the presence of the additional secretary, the members and the team of the IT section. He gave a deadline of three months to switch all recordings from a manual system to digital. He further stated that:

“The main objective is to promote a paperless environment in the office and the use of the latest technologies.”

The secretary ordered the IT team to complete the task within three months. He spoke about the importance of electronic and paperless systems. He said the whole world has turned into a digital system and there is also an urgent need for hours to utilize the latest technology in the ministry. He further clarified that this would be a landmark initiative that would not only make the work of officials easier but would also be cost effective.

The IT section will implement an electronic office system in stages, as instructed by the secretary. It is certainly a good initiative that will make the system quite fast and efficient. It will be cost effective and will surely help to replace old manual systems with efficient electronic ones.
